2024 will be Owner & Creative Director Sara Stevenson’s 8th season in the wedding industry - some might say she’s seen it all. The experiences and connections that have been formed in those seasons shape the way that Function Design House approaches weddings.

  • We believe in fully customized weddings that are a true reflection of you and your partner’s relationship and life together. There’s no such thing as “the right way” to throw a wedding in our books - we are constantly exploring new ideas and finding the right fit for our clients.

  • We are suckers for logistical excellence and strive to make every event feel effortless for clients, guests and fellow vendors alike. There is no event too overwhelming or challenging for our organizational skills (we love a 30-page timeline).

  • We are obsessed with high-end and purposeful design. We pride ourselves on being an industry leader when it comes to wedding design and can bring to life any style that your Pinterest board throws our way.

  • We are an inclusive firm. We are proudly LGBTQ+ friendly and love to incorporate ceremonies, traditions and ideas from the many different cultures our clients identity with.

We offer design, planning and coordination services for weddings at venues and private properties in Victoria, Vancouver and The Gulf Islands.

(that being said, we wouldn’t say no to a wedding in the Hawaiian Islands either! We welcome destination weddings and clients here in British Columbia as well as abroad.)


The level of service you need depends on many factors. We start with a full and free consultation to determine the needs of our clients and then prepare a customized production proposal outlining services and costs. Each of the services described below are separate ingredients to the perfect level of support for you and your partner. All service packages include access to our project management tool and unlimited questions and chats with your wedding planner and wedding designer.

Coordination Services

This is where the flawless execution of all the best made plans comes to life. Whether you did the planning on your own or had our help, our Coordination Services are the heart of what makes our productions feel so good. We become your full representative for the day to ensure that the only question being asked of you, your family or your friends is “are you ready to party?”. We live and breathe the “anything for the couple” promise and will go above and beyond to make sure you and your guests are well taken care of on the day.

We know that even the best made plans can go sideways in the blink of an eye and this is where our experience really comes into play. By nature, we are the strongest creative problem solvers - taking care of issues that arise, most times without any of the guests or clients even knowing they came up in the first place.

Great Coordination services start well before the wedding day though. Here’s how our Coordination timeline flows:

Day 1 with Function: From the moment you onboard with Function, you’ll have access to our Project Management tool, preloaded with our checklists, templates and vendor recommendations to help guide you through the rest of your planning process. You’ll also have us - all of us - to answer all your quick questions during the lead up to your wedding. Like “Hey! How do I get a liquor license?” or “Hey! What’s the best way to word a no kids policy for our wedding?”. There’s no such thing as too many questions!

Approximately 3 months before your wedding: we’ll host what we call the Wedding Audit - where we’ll meet to go through all your plans so far in detail and talk about anything that might be missing (have you thought of a rain plan? How is your dog getting home after the ceremony?). Consider us your safety net, catching problems before they even arise! We’ll send you on your way with a list of the last minute items left to complete.

Approximately 2 months before your wedding: Now that you’ve tied up the loose ends of your planning, we’ll take over the production elements from here! We’ll get to work on preparing your detailed wedding day timeline, and share this with your vendors, wedding party and VIP family members. We’ll do all the last minute confirmations and communication with your vendors and venue as well - ensuring that they have everything they need to be set up for success (we pride ourselves on creating an exceptional and effortless experience for your vendors as well as your guests).

The week of your wedding: We’ll run your ceremony rehearsal to make sure that during the real thing, everyone knows where to go and what to do with their hands so you can focus on being present in the moment. We’ll be the go to person for any last minute questions or small decisions needed from your vendor team so you can enjoy this time with family and friends.

On wedding day: This is where the action happens! We’ll be on site with our A team (1 Lead Planner for 10+ hours, 1 Assistant for 10 hours and a 2nd Assistant for the busiest hours of your day). We’re there to greet vendors, run your timeline, greet guests and jump in to help with any production aspect of the day! (Set-up and Take Down services are not included in Coordination).

** For 2024 Weddings: Coordination is offered as a stand alone service! (Though you’re welcome to add design or planning as well!)

*** For 2025 Weddings: At this time, Coordination must been paired with Function’s Design Services at minimum. Coordination only bookings will open in January of 2025!

Design

Design Services (includes Decor Set Up & Take Down)

Time and time again we hear clients say that bringing together all the elements needed to create a cohesive design for their wedding day is one of the most daunting and overwhelming parts. We couldn’t agree more! Luckily, we’re a glutton for punishment when it comes to Wedding Design. No matter where you are in the design process - from struggling to pick a style to bursting at the seams with Pinterest ideas - we have the experience, know-how and connections to make your dreams a reality and save you time, money and stress (because who cares how it looks if it doesn’t feel good?).

Our Design Services Include:

  • Our creative badassery when it comes to crafting stunning and unique to you designs. There is no style that we shy away from. We also pride ourselves in making our designs purposeful and intentional - we’ll help you cut back on the clutter and hone in on what will truly make your wedding feel the way you’ve always imagined.

  • A consultation process created to bring out the personal details and help solidify your aesthetic vision.

  • Fully customized Inspiration Board(s), Floor Plan & Design Plan so you can see for yourself how your wedding day will feel.

  • A full Design Budget & Piece List so you can see exactly what it’s going to take to bring your vision to life and make informed decisions - saving you time, money and heartache down the road.

  • Function will source all the items (as agreed upon in your Design Budget and Piece List) necessary to fulfil your design plan whether they are rentals, purchases or custom creations. We also give you access to industry discounts provided to Function by BC’s top event rental suppliers.

  • We’ll confirm services and design with all outside design related vendors (florist, stationery, cake, specialty decorators etc). If you don’t have a planning package with us, we’ll pass on our #1 recommendations for the specific vendors as well!

  • We’ll take care of the pick up and return of all rentals that aren’t being delivered (our vehicles are only so big!)

  • Set Up & Take Down of decor is all on us as well! Leaving your friends and family free to just enjoy the day with you.

  • Finally, we’ll facilitate the donation or sustainable recycling of all unwanted items after your wedding (florals, signage, centrepieces, etc.) 

    ** Design services typically must be paired with Function’s Coordination services, but certain exceptions can be made. Please inquire to discuss possibilities further.

Planning Services

Planning services are for clients looking for the highest level of support when it comes to pulling together the event related details of your wedding celebration. (If you’re confident with your vendor booking, budget, and time management skills, skip down to Coordination Services!)

Perhaps you’re a busy couple who doesn’t have the capacity to be totally consumed by this one day for the next 12 months. Maybe you’re planning a Destination Wedding and are wondering how to pull together an event without the benefits of local knowledge or feet on the ground. Or, perhaps you’re just a savvy pairing who wants to take advantage of the time, money and energy saving aspects of planning so you can maximize your joy in the planning process. Planning services mean less work for you without having to give up control or say in the choices for your wedding day.

Our Planning Services Include:

  • Working with you to create a list of priorities which will form the decision making structure upon which we evaluate all future planning steps. No matter what your well-meaning family and friends may say, there is no RIGHT way to plan your wedding. It’s all a matter of what’s most important to you!

  • Preparing a realistic and comprehensive budget estimate for all the event elements of your wedding. Having this budget first is key to being able to make informed decisions moving forward. You’ll be able to watch how it changes based on the choices you make and can make sure you aren’t overspending on the less important items.

  • Matching you with the best fit vendors and service providers based on your needs, wants, budget and event details. We will research and pull multiple options for each vendor category, where applicable, and help outline the pros, cons, reviews and considerations when looking to book!

    • Including but not limited to: caterers, bartenders, entertainment, photographers, videographers, transportation, guest accommodations, florists, dessert providers, stylists (hair, make up or other), child minders, etc.!

    • We work with any and all vendors - no exclusive partnerships here. We’ve worked with a wide selection of exceptional vendors from across BC, so our recommendations typically come with real experiences to back them up!

    • You always have the final say in which vendor to book!

  • Confirming services and negotiating contracts with chosen vendors.

  • All communication and detail planning with event related vendors and providers is on us including the scheduling of meetings between us, them and you! This is the bulk of the work. We’ll keep you and your planning partners as looped in (or out) as you wish!

  • We’ll keep you on track with all the tasks, details and decisions you need to be a part of. Consider us your personal trainer - so you can just show up and do the fun parts!

  • Looking out for you like a best friend and giving you all the guidance, advice and loving pushes you need to bring your wedding to life. We’ll tell you all the things you need to hear (even if they’re not what you want to hear) to set you up for success.

    ** Planning services must be paired with Function’s Coordination services (this is how we ensure a feel good production from start to finish!)

Guest Management

Wedding websites, sending save-the-dates & invitations, collecting RSVPs and answering guest questions related to travel, event details and logistics.

Stationery Design

Custom invitation suites, day of stationery, signage and more. We can create the perfect paper or digital pieces to tie together your style.

For clients hosting an event at a non-traditional venue like a house, barn, estate, or even the middle of the forest. We take care of all the logistics & rentals.

Other Celebrations

Design, Planning or Coordination services can be added for other wedding celebrations such as rehearsal dinners, welcome minglers, cultural events & more.
